Why Pharmacies Still Rely on Fax
Electronic prescribing (e-prescribing) handles a growing share of prescription orders. But fax fills the gaps that electronic systems cannot. When a prescriber is not set up for e-prescribing, the prescription comes by fax. When a prior authorization needs to go to an insurance company, it often goes by fax. When a controlled substance prescription requires additional documentation, fax is the accepted channel.
The Drug Enforcement Administration (DEA) has specific requirements for controlled substance prescriptions. Many of those workflows still involve faxed documentation between prescribers, pharmacies, and regulatory agencies. Until every participant in the chain adopts the same electronic standard, fax remains the universal fallback.
Independent pharmacies, compounding pharmacies, long-term care pharmacies, and specialty pharmacies are especially dependent on fax. They coordinate with dozens of prescribers, insurance companies, and wholesale distributors. Fax is the one format every party accepts. What Pharmacies Actually Fax
Prescriptions and refill requests. When an e-prescribing system is down or a prescriber does not use one, the prescription arrives by fax. Refill authorization requests go back to the prescriber the same way.
Prior authorizations. Insurance companies frequently require prior authorization before covering certain medications. The pharmacy faxes the PA form to the insurer, and the approval (or denial) often comes back by fax. This is one of the highest-volume fax workflows in pharmacy.
Controlled substance documentation. Schedule II through V medications come with extra paperwork. Pharmacies fax DEA Form 222 records, state prescription drug monitoring program (PDMP) reports, and other controlled substance documentation to regulatory bodies. Insurance claims and coordination of benefits. When electronic claims hit a snag, the backup is often a faxed claim form. Coordination of benefits between multiple insurers frequently involves faxed documentation as well.
